This is a fixed term opportunity until December 2024

Role Purpose

Manage fines process for all Leaseplan vehicles. Manage all incoming customer queries received by phone and email. Manage all vehicle admin related tasks, including RFL management, MOT reminders, safety recall notifications, V5 management and cherished plate transfers.

Role Specific

To ensure task management is carried out to the highest level on the following:

  • Ancillary RFL Management which includes taxing of 140,000 vehicles

  • V5 administration, which includes auditing the daily received documents, dealing with customer requests, and working with suppliers

  • MOT data management

  • Manage the Cherished plate service for our customers

  • Safety Recall Administration

  • Administration support on uninsured vehicles

  • Processing of Fines and Penalties, which includes invoice queries

  • Maintaining vehicle data, identifying, and correcting any anomalies in the data.

  • Receipt of inbound customer telephone enquiries and the co-ordination of appropriate action/response as necessary from the business

  • Take full ownership, investigate, and respond to all customer queries via an in-house customer query system, email, phone and by post

  • Assisting in the training of any new team members ensuring all processes are explained in full

  • To ensure all processes are actively recorded, amended for any process change along with checking and updated on a quarterly basis

  • Actively seek process enhancements to improve our services to our customers

Required skills and experience

  • Experience of working in an administrative environment where preparation, planning and organisation is evident.

  • Experience of working in a customer contact environment where there is a requirement to build relationships at various levels.

  • Knowledge and/or experience of the car leasing industry and relevant government legislation preferred but not essential.

  • Experience of working in an environment where attention to detail is key and accuracy has been a fundamental requirement of the job.

  • Experience of actively participating in a team environment, whilst demonstrating the capability to work independently.

  • Working knowledge of core Microsoft Applications (Word and Excel)

  • Fluent in business English language written and verbal.

  • Full understanding of relevant LeasePlan products, processes and systems

  • 5 GCSE’s or equivalent, typically grade C or above, must have at least grade C in English and Math’s ​
